Participant Information

We look forward to your participation at the 2014 Indo-American Frontiers of Engineering Symposium, to be held May 19-21, at the Infosys Ltd. campus in Mysore, India. On Sunday evening, May 18, there will be a welcome reception at the Country Inn & Suites by Carlson in Mysore. See the Program on the left for details.

Meeting Format

The symposium runs from Monday morning through Wednesday lunch. There is a welcome reception on Sunday evening. In order to achieve the objectives of the program, we ask that you attend all sessions of the entire symposium. This meeting is unlike other meetings you may attend where it is possible to pick and choose the sessions in which you wish to participate. In addition to showing consideration toward all the speakers, who have worked hard preparing for this meeting, you will reap the maximum benefit from the symposium by participating fully in both the formal sessions and informal events over the course of the 2-½ day meeting.

Posters: In addition to the technical talks given at the symposium, attendees will have the opportunity to present their work in an afternoon poster session on Monday, May 19. These posters will be displayed throughout the meeting and provide an opportunity for every participant to share information about his/her work. The material presented can be on posters, but could also include—particularly for those from industry—videos, demonstrations of devices, etc. Each participant will be provided a  6' x 3' display space on which to affix his/her poster. Posters should not exceed 1 m x 1 m. See the poster session link at the left for additional information..

Tours: On Sunday evening, attendees will see the Mysore Palace Illumination. On Tuesday afternoon, there will be a tour of Mysore Palace.

Infosys Mysore Campus Guidelines

The destination city for flight arrangements is Kempegowda International Airport (BLR) in Bangalore, which is about 90 miles from Mysore. In general, US attendees will need to depart on Friday, May 16, arriving in Bangalore in the middle of the night May 17/18.

Lodging for US participants will be covered for the nights of May 17/18 (one night) in Bangalore and May 18, 19, and 20 in Mysore. Upon arrival in Bangalore the night of May 17/18, US attendees will be met at the airport and taken to a guest house at the Jawaharlal Nehru Centre for Advanced Scientific Research (JNCASR). Look for student volunteers with "Indo-American Frontiers of Engineering" signs in the arrivals area. Those arriving earlier in the day on May 17 will stay at the Indian Institute of Science (IISc) Main Guest House. You will need to take a taxi, which IUSSTF will arrange. Look for a person with a sign with your name on it in the arrivals area. You will not need to pay for the cab; just sign for it. At 7:30 a.m. on Sunday, May 18, a bus will bring everyone staying at JNCASR to IISc where we will have breakfast before leaving for Mysore at 9 a.m.  

During the symposium, participants will lodge in guest rooms on the Infosys campus. After lunch on Wedneday, May 21, a bus will return participants to Bangalore. The bus will drop off attendees at either the airport or JNCASR for dinner and a later bus transfer to the airport. For those staying in India beyond that night, IUSSTF will cover lodging at the IISc Main Guest House for one night, May 21, with check-out on May 22. Beyond this date, attendees will need to arrange their own lodging in India. 

US participants should make lodging reservations by completing the online travel form by April 1. If you need to make changes to your lodging  reservation after submitting the form, please contact Vanessa immediately. Indian participants will coordinate travel and lodging plans with IUSSTF directly and should not fill out the travel form. Attendees who plan to bring a spouse/guest should be aware that there may be an additional cost for spouses/guests, and these costs are the responsibility of the attendee. Please note the Infosys Center cannot accommodate children.

Making Flight Arrangements:  IUSSTF will cover advanced-purchase, coach-class airfares for US speakers, organizers, and general partipcants who requested the airfare stipend between your home city and Bangalore up to $1800. Flight reservations should be booked through the Forum’s Travel Desk staffed by Carlson Wagon-lit Travel. Please make your reservation by April 1.

Reimbursement for Expenses

Because USSTF will provide bus transportation between Bangalore and Mysore for US attendees arriving on May 17/18 and departing the night of May 21/22,  IUSSTF will not reimburse ground transportation costs in India if the attendee chooses not to take advantage of this travel option.

Reimbursable non-incidental, travel expenses include: usage of privately owned vehicles, ground transportation to or from your home airport, airport parking, tips, tolls, and visa fees, with supporting receipts. Meals are provided during the symposium; therefore, meals taken elsewhere during the course of the symposium are not reimbursable. Meals taken enroute to the meeting site are not reimbursable either.  IUSSTF cannot cover the cost of sedan service, and rental cars are not reimbursable. Some US participants who have purchased flights on their own will be reimbursed by wire transfer as per the approved  IUSSTF budget limits against supporting air ticket receipts and wire documents which will be sent immediately after the meeting. All reimbursements will be processed through wire transfer. Additional information about reimbursement for expenses will be provided at the meeting or immediately thereafter.

Visa Information

Visas are required for all US travelers entering India. Those who hold passports from other countries must check whether or not a visa is required to enter India. Application for a short-term conference visa can be made through BLS India Visa. Visa fees, with receipts, will be reimbursed by IUSSTF.

The short-term conference visa will require a supporting letter of invitation from the Forum and the National Academy of Engineering, which was emailed on February 19. Note that most countries will not issue visas if the passport will expire within six months of the travel dates. We will also collect visa and passport information to expedite the visa by having you fill out the passport form. Complete this form after you have applied for your visa.
